Komodo Group Charter for 15 Guests: Costs, Cabins, Timeline

Ayvara Cruise, a seven-cabin VIP phinisi sailing Komodo National Park from Labuan Bajo, can be chartered privately by one group of up to 15 guests. At the 2027 publish rates (rate sheet dated 11 September 2026), a 3D2N charter for 9–15 guests is IDR 118,000,000 / USD 7,000 for the whole boat, or about IDR 7,867,000 / USD 467 per person when all 15 berths are filled. Komodo National Park fees are not included, and a 50% non-refundable deposit secures the booking.

How a Komodo group charter is priced

A private charter is priced for the whole boat, not per head. On Ayvara the rate depends on two things only: the duration (2D1N to 7D6N) and the guest band (1–8 guests or 9–15 guests). Every figure below is from the 2027 publish rates, rate sheet dated 11 September 2026; the full sheet is on the Ayvara rates page.

The vessel itself sets the ceiling. Ayvara is a traditional wooden phinisi with 7 above-deck sea-view cabins and a maximum of 15 guests, owned and operated by Komodo Luxury and sailing from Labuan Bajo since August 2025. A party of 16 or more needs a different boat: the Komodo Luxury VIP fleet lists larger vessels, several with stated capacities of 20 guests or more.

Guest bands: 1–8 and 9–15

For a 3D2N charter, the two bands are:

• 1–8 guests: IDR 104,000,000 / USD 6,200 per charter
• 9–15 guests: IDR 118,000,000 / USD 7,000 per charter

The step between bands is IDR 14,000,000 / USD 800 on a 3D2N charter. Inside a band the price does not move: 10 guests and 15 guests pay the same rate. From 3D2N upwards, each extra night adds IDR 59,000,000 / USD 3,500 in the 9–15 band and IDR 52,000,000 / USD 3,100 in the 1–8 band.

For an organiser, that means settling the headcount before paying anything. If the group sits on the 8–9 line, ask the reservations desk how a late change of numbers is handled.

Per-person maths for 10 and 15 guests

The table divides the 9–15 band charter rate by headcount. Per-person figures are arithmetic only, rounded to the nearest thousand rupiah and the nearest dollar; the charter rate is what is invoiced.

The band step is small per head: 8 guests on a 3D2N charter pay IDR 13,000,000 / USD 775 each in the lower band, and 9 guests pay about IDR 13,111,000 / USD 778 each in the upper band. A full boat of 15 on a 3D2N charter lands inside the range of Ayvara’s open-trip rates (IDR 6,750,000 to 8,500,000 / USD 450 to 570 per person, per 3D2N voyage, by cabin type), with the whole vessel private. Cabin allocation: 7 cabins, 15 berths

Capacity comes from one triple and six doubles: 1 × 3 + 6 × 2 = 15.

• Master Cabin (1), sleeps 3: queen bed 160 × 200 cm plus one extra bed, private balcony
• Deluxe Cabin (2), sleeps 2 each: queen bed 160 × 200 cm, private balcony
• Superior Cabin (4), sleeps 2 each: queen bed 160 × 200 cm, large panoramic windows

Every cabin is above deck and has a private bathroom, air conditioning and a sea view. Each is listed with one queen bed, and the only extra bed listed is the one in the Master Cabin. Couples slot in easily. Friends or colleagues need to agree in advance who shares a queen bed, and can put bedding questions to the reservations desk.

Up to seven guests can have a cabin each. At the full 15, the Master Cabin takes three, which suits parents with a child or three friends content to share. Because the charter is one price, the split is the group’s own business; one neutral method is to weight shares by cabin type, Master highest and Superior lowest, as the open-trip rates do. What the rate covers, and what to budget on top

The published inclusions are the stay on board, meals during the trip, mineral water, coffee and tea, a guide, snorkelling gear, life vests, documentation by drone, GoPro and mirrorless camera (raw footage only), and pick-up and drop-off within the Labuan Bajo mainland area near the harbour.

Not included: fees for Komodo National Park (a UNESCO World Heritage Site since 1991), which are subject to government regulations at the time of the trip; crew gratuities; flights; alcoholic and non-alcoholic drinks; personal snacks and expenses; and the optional park drone permit. A group budget needs a separate line for each.

Birthdays, friends’ trips and company retreats

The listed facilities that matter to a group are the 360° rooftop deck, the shaded sundeck, the indoor dining area and Starlink internet on board, which helps when a company retreat has to stay reachable. Nothing beyond the published inclusions should be assumed: a birthday cake, particular drinks or any other extra is a request to put to the reservations desk well before departure.

Deposits and payment terms

• A 50% down payment secures the booking, and the deposit is non-refundable.
• Full payment is due no later than 30 days before departure; trips less than 30 days away are paid in full.
• Bookings made one year in advance: 30% deposit, a further 20% 120 days before the trip, and the balance 30 days before departure.
• Children aged 3 and above are charged the full rate. Bank charges are borne by the sender.

On a 3D2N charter for 9–15 guests, the 50% deposit is IDR 59,000,000 / USD 3,500. Under the one-year terms the same charter is paid as IDR 35,400,000 / USD 2,100, then IDR 23,600,000 / USD 1,400, then the remaining IDR 59,000,000 / USD 3,500.

A cancellation forfeits 100% of payments made, with no refund, reschedule or transfer to another trip. A replacement guest may be nominated, which is the clause that matters when one of 15 people drops out. Force majeure (weather, natural disaster, government regulation, flight cancellation and similar) may change or cancel a trip without refund. Organisers are wise to collect every share before sending the deposit.

Planning timeline

1. One year in advance: fix dates and the guest band; the 30% deposit terms for bookings made one year in advance apply.
2. Under a year ahead: pay the 50% deposit and send the terms to every guest.
3. 120 days before: second instalment of 20% (bookings made one year in advance only).
4. 30 days before: balance paid; a sensible point for the group to settle who sleeps where.
5. 7 days before: request the optional Komodo National Park drone permit if wanted.
6. Day before departure: have everyone in Labuan Bajo. Pick-up is arranged between 8 and 9 a.m., and on a private trip a late arrival shortens the itinerary; the charter period is not extended.
